JOBBER GUIDELINES - This article will go over how Jill's Office works with Jobber & how to set up your Jobber so you are set up for success

​Setting Up Your Calendar

To better serve our Jobber clients, we developed some guidelines for how to set up your scheduling to improve call times and accuracy. Please set up your Jobber account according to the guidelines below to enable Jill’s Office receptionists to use Jobber on your calls.

1. Please give us clear blocks of time when we can schedule appointments and how many appointments we can schedule at each time block.

Example:

1 appointment per time slot:

Monday - Friday:

8 am - 10 am

10 am - 12 pm

12 pm - 2 pm

2 pm - 4 pm

Saturday:

9 am - 11 am

11 am - 1 pm

2. Please let us know if we should assign the jobs to any technician and which one we should assign it to.

Please note:

* We can’t assign 1 job to more than 1 technician

* We can assign a job to either or technician- depending on who has an opening during that time slot

* We can assign estimates to a different person than jobs

* We can assign a job to any technician in the "Day View" setting.

3. If you have a work request form on your website you’d like us to fill out to get your leads into Jobber, we will need to login to Jobber instead of using the online request form on your website. This is because the way Jobber is programmed it “cookies” the contact information (it remembers the previous contact info we put in and doesn’t always let us create a new contact).

4. If we are scheduling estimates for you, please let us know if you’d like us to schedule them as a “Request” or as a “Job”. All estimates will be assigned as either requests or jobs as per your request (As an example, we can’t schedule window cleaning estimates as a request and power washing estimates as a job. But we can schedule all estimates as requests or all estimates as jobs.)

5. If we are scheduling jobs for you, please let us know if you’d like us to schedule them as a “Request or as a “Job.” Same as #2 above, please make sure there is only 1 set of instructions for how to schedule jobs to prevent confusion and errors.

6. When scheduling, we have the capability to include only one line item for a job or a request, with the exception of carpet cleaning appointments.

7. Please set your default arrival window in Jobber to be the same as you'd like Jill receptionists to communicate as the arrival window on calls. Here is an article from Jobber on how to do that.

8. The Jills will consistently schedule based on availability and adhere to the scheduling instructions in your account.

Please ensure you block off any holidays you don't want to be scheduled, as well as any planned vacation or sick leave.

Important Notes

  • Please keep in mind that the Jills cannot assist in processing payment or looking for previous or active work done on a customer.

  • When providing pricing over the phone, the Jill receptionists will always refer to your Jill account and will not access or utilize pricing from your Jobber account.

  • If the pricing is highly customized, we may refrain from providing quotes over the phone.

  • Our most successful Jobber users are the ones who check their calendars on a daily basis! We try our best to schedule accurately, but please always double-check your calendar to verify everything is correct.

Parts of Jobber we DON'T use

Our specialty is capturing the caller and giving them great customer service to help turn them into a customer. We get into the basics of Jobber to get them in your system/on your calendar, but we don’t get into the guts of the CRM. Our goal is to capture them and get them in your system.

We don’t ever get into these parts of Jobber:

1. Map scheduler
2. Save a request and assign it to Jobber

3. Assign different types of appointments to different technicians
4. Assign different techs to different service areas
5. Can’t convert an estimate to a job

6. Take payment

7. Different scheduling instructions for different services

We are confident having a set standard for Jobber clients will ensure better service, more accuracy, and faster call times to help us be available when your customers call in.
